At Studio Party Agreement
Deposit: A $200 non-refundable deposit is required to secure your party date and time.
Final Guest Count: Final guest count must be confirmed 5 days prior to the event. This final count will be used for invoicing, even if fewer guests attend the party.
Remaining Balance: The remaining balance is due 3 days prior to the event.
Arrival Time: The birthday family may arrive 15 minutes prior to the scheduled party start time for setup of personal decorations (if applicable). Guests should arrive at the scheduled party start time.
Party Duration: Parties begin and end at the reserved time. Please help us keep to the schedule so we can prepare for the next celebration.
Additional Time: A 10-minute grace period is included after the party ends. Additional time beyond the reserved party period will incur a $50 fee per 15 minutes, subject to studio availability.
Decorations: You're welcome to bring your own decorations. Decorations must be freestanding or attached using painter's tape only. No nails, staples, glitter, confetti, or wall adhesives are permitted.
Food & Refreshments: Pizza, juice, and water are included only if specified in your party package. You are welcome to bring additional food, beverages, cake, or desserts. The HeArt Studio is not responsible for the preparation, storage, or allergy exposure related to outside food or beverages.
Cancellations & Rescheduling: Parties canceled 7 or more days before the event may be rescheduled within 60 days, subject to availability. Deposits are non-refundable.
Allergies: Please notify us of any allergies in advance. The HeArt Studio is not a nut-free facility.
Supervision: Adult supervision is required for children under 5 years of age. The hosting family is responsible for the supervision and behavior of all guests during the event.
Craft Projects: Craft projects are designed for creative expression and may vary in appearance. The HeArt Studio is not responsible for accidental damage to projects after completion.
Damages: The hosting family is responsible for any damage caused by party guests to studio equipment, materials, furniture, or property beyond normal wear and tear.
Liability: The hosting family assumes responsibility for all guests attending the event. The HeArt Studio is not responsible for injuries, allergic reactions, lost or stolen personal belongings, or accidents occurring during the event except in cases of gross negligence.
Photography & Social Media: Photos and videos may be taken during the event for The HeArt Studio's website, social media, and marketing materials unless the hosting family requests otherwise in writing before the event.
Personal Belongings: The HeArt Studio is not responsible for lost, stolen, or forgotten personal belongings. Please check the party area before leaving.
Clean-Up: Our team will handle general party cleanup. We kindly ask that personal belongings, gifts, decorations, and any outside food items be removed promptly at the end of the party.
