Mobile Party Agreement
Deposit: A $200 non-refundable deposit is required to secure your party date and time.
Final Guest Count: Final guest count must be confirmed 5 days prior to the event. This final count will be used for invoicing, even if fewer guests attend the party.
Remaining Balance: The remaining balance is due 3 days prior to the event.
Setup & Access: The client agrees to provide a clean, safe, and adequate setup space with access to tables/chairs (unless otherwise arranged), nearby parking/loading access, and entry to the location at least 30 minutes prior to the event start time.
Arrival Time: The HeArt Studio team will arrive prior to the event start time for setup. Clients may begin guest arrival at the scheduled party start time.
Additional Time: A 10-minute grace period is included. Additional time beyond the reserved party period will incur a $50 fee per 15 minutes.
Travel & Parking: Additional travel fees may apply for locations outside of the standard service area. Any required parking fees are the responsibility of the client.
Outdoor Events: Outdoor parties require safe weather conditions and an appropriate shaded or covered area when applicable. The HeArt Studio reserves the right to modify or cancel certain activities due to unsafe weather conditions including rain, excessive heat, or strong wind.
Cancellations & Rescheduling: Cancellations made 7 or more days prior to the event may be rescheduled within 60 days, subject to availability. Deposits are non-refundable.
Allergies: Please notify us of any allergies in advance. The HeArt Studio is not a nut-free business environment.
Food & Refreshments: The HeArt Studio is not responsible for food preparation, storage, or allergy exposure related to outside food or beverages provided by the client or venue.
Supervision: Adult supervision is required for children under 5 years of age. The client assumes responsibility for supervising all guests during the event.
Craft Projects: Craft projects are designed for creative expression and may vary in appearance. The HeArt Studio is not responsible for accidental damage to projects after completion.
Damages: The client is responsible for any damages caused by party guests to studio equipment, materials, or property during the event.
Liability: The client assumes responsibility for all guests attending the event. The HeArt Studio is not responsible for injuries, allergic reactions, or accidents that occur during the event except in cases of gross negligence.
Photography & Social Media: Photos and videos may be taken during the event for The HeArt Studio social media, website, and marketing purposes unless otherwise requested by the client in writing prior to the event.
